Privacy notice

Group trips need personal details: names, IDs, consent forms and emergency contacts. Here is what we collect, why, and what you can ask us to do with it.

Who we are

Toligo Journeys plans and runs group trips from our office in Hyderabad, Telangana. This notice explains what personal data we collect, why, who we share it with and the choices you have. It follows India’s Digital Personal Data Protection Act, 2023.

What we collect

  • When you enquire: your name, phone or WhatsApp number, email, and what you tell us about your group and trip.
  • When someone travels with us: full name, age, contact details, the ID or passport details that hotels, airlines and visa offices ask for, emergency contacts, and medical notes or dietary needs the traveller or parent chooses to give.
  • For school trips: the parent’s consent for each child, recorded when they sign.
  • For trips abroad: the PAN of the person paying, which tax law requires before we collect TCS.
  • Payments: who has paid and how much. Card and UPI details are handled by the payment provider; we do not see or store them.

Why we use it

  • To reply to your enquiry and send a proposal.
  • To book and run the trip: tickets, rooms, visas, insurance, transport and the day plan.
  • To keep travellers safe: headcounts, emergency contacts and medical notes on the trip.
  • To send trip updates to the people you choose, such as parents, HR or the organiser.
  • To meet legal duties, including tax, school study-tour rules and requests from authorities.

We use your data for these purposes only. We do not sell it, and we do not use it for advertising.

Children’s data

For school trips we collect a child’s details only with a parent’s or guardian’s consent, given through the consent form. We use them only to plan and run that trip and share them only with the school and the suppliers who need them. We do not track children’s behaviour or show them advertising.

Who we share it with

  • Hotels, airlines, rail and coach operators, guides and venues: the details each needs for its booking.
  • Embassies, visa centres and insurers: for visas and travel insurance.
  • The school, company or organiser who booked the trip: headcounts, payment and consent status.
  • Payment providers: to collect each traveller’s share.
  • Government authorities: when the law requires it.

For trips abroad, some details go to suppliers in the destination country, only as far as the booking needs.

How long we keep it

We keep trip records while the trip is being planned and run, and afterwards for as long as tax and other laws require. Medical notes and live location updates are used for the trip only; we delete them once the trip report is done, unless a law or an open incident needs them kept.

Your rights

  • See the personal data we hold about you.
  • Ask us to correct or complete it.
  • Ask us to delete it, where the law lets us.
  • Withdraw consent you gave, for the future.
  • Name someone to act for you if you cannot.

Write to [email protected] and we will reply within 30 days. If you are not satisfied, you can complain to the Data Protection Board of India.

This website

This website does not use advertising or tracking cookies. If we add visitor statistics, we will use a service that does not track you across sites, and we will update this notice.

Changes

If we change how we use personal data, we will update this page and the date at the top. For a change that affects a trip you have booked, we will tell you directly.
